Job Title: Administrative Assistant 

Location: Charlotte, NC 28255 

Duration: 12 Months + Possible Extension/Conversion   

Schedule: Mon-Fri: Std Business Hours    

Start Date: ASAP - Apply Now!  

Pay Range: $15/hr - $19/hr

Responsibilities 

  • Maintain detailed calendars and prioritize meeting requests and logistics. 
  • Schedule complex meetings requiring coordination of multiple calendars. 
  • Coordinate travel arrangements and process expense reports in a timely manner. 
  • Utilize general bank systems, expense policies, and MS Office Products (including Outlook, Word, Excel, PowerPoint), WebEx, and GEP Smart. 
  • Assist other senior members of the leadership team as needed. 
  • Serve as floor support, including building access management. 
  • Act as onsite point of contact for traveling team members, ensuring access and accommodations. 
  • Coordinate site-specific events, including catering orders and post-event cleanup. 
  • Manage supplies ordering and maintenance. 
  • Oversee printer maintenance, including ordering paper/ink and ensuring functionality. 
  • Handle adhoc maintenance requests. 
  • Assist with signage and maintaining the floor for the team. 
  • Coordinate equipment returns for exiting resources.

Required Skills 

  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint, Visio), particularly for managing calendars. 
  • Proficiency in SharePoint.

  • Strong written and verbal communication skills. 
  • Highly organized with strong attention to detail.

Desired Skills 

  • Proficiency in other Travel & Expense software. 
  • 2+ years of administrative assistance experience. 
  • Experience engaging with executive stakeholders across multiple locations and geographies. 
  • Strong partnering skills. 
  • Familiarity with organizational processes, structure, and enterprise tools.
